Bob/HiBob: Automate your starters and leavers

Learn how to integrate HiBob with Perkbox to automate joiners/leavers and reduce manual admin.

Our Bob/HiBob integration automates joiners and leavers in a few simple steps – saving you time and taking the heavy lifting out of user management.

Before you get started, here are a few things to consider:

  • Departments – Employees will be auto-allocated into their teams on the Perkbox platform.

  • All 'active' people on Bob/HiBob will be added to Perkbox We don’t automatically filter out users by employment status (e.g. contractors) or region. If you use an additional system like Okta or Microsoft Azure with Bob/HiBob, filtering may be possible — please speak to your IT team.

  • Access level – You may need the highest Bob/HiBob admin access level to integrate – without it, the setup may not work.


Step one – Create a service user in HiBob

  • Log in to your Hibob instance as an admin user

  • From the top left, click Bob products and then System settings

  • Select Integrations from the left menu

  • From the All categories dropdown menu, select Automation

  • On the Service users tile, click Manage

  • Next, select the Create service user button

  • You will be prompted to enter a Display Name and Description for the service user

  • Give the service user a descriptive name such as 'perkbox.com SCIM user' and select Create

Step two – Upload HiBob service user ID and Token

  • An ID and Token will appear

  • Upload the service user ID and Token

💡Tip: Make sure to save these somewhere secure should you need to access them again.

Note: You will be able to upload your Service User ID and Token from the Perkbox platform itself.


Step three – Create a service user permission group

To allow Perkbox to read the data required for your directory sync, you'll need to ensure your Service user has the correct permissions. HiBob have a help article to guide you through this, called Create and update a service user permission group.

The permissions that Perkbox requires are the following:

  • People's data > People > About > View selected employees' About sections

  • People's data > People > Basic info > View selected employees' Basic info sections

  • People's data > People > Work > View selected employees' Work sections

  • People's data > People > Work contact details > View selected employees' Work contact details sections

  • People's data > Lifecycle > View selected employees' lifecycle sections


Step four – Confirmation

Once you have integrated Bob/HiBob, all employees who have never been added to Perkbox will receive their welcome emails immediately.
