How to: set up Total Reward Statement

Learn how to set up the Total Reward Statement in Perkbox, upload employee salary data, and turn it on for your team.

The Total Reward Statement gives each of your employees a single page showing the full value of their reward package – salary, pension, benefits and Perkbox perks – all in one place. This article explains how to set it up as an admin.

Before you begin

The Total Reward Statement covers a fixed 12-month window. Before setting up, decide which month you want the statement period to start – you'll set this before completing the steps below. This applies to all employees in your organisation.

Step one – Benefits, Rewards, Perks and Flexi points

This step is completed automatically. Benefits, rewards, perks and flexi points data is pulled directly from Perkbox – there's nothing to configure or upload for these sections.

Step two – Upload your employee information

This is where you provide salary and pension data for each employee.

Click Download CSV Template – the template is pre-populated with your existing Perkbox employees

Fill in the required columns for each employee:

  • Employee ID

  • Email

  • Annual salary

  • Employer pension contribution

Once complete, upload the file by clicking Upload a CSV file or dragging and dropping it into the upload area

Upload processing happens in the background – you don't need to stay on the page. You'll receive an email when processing is complete, and you can check the results in Upload History.

If some rows couldn't be matched

If any rows in your CSV couldn't be matched to a Perkbox employee, you'll see an error message after processing. Perkbox checks Employee ID first, then email – both must match a Perkbox account. Click Download error report to see which rows need fixing, correct them in your CSV, and re-upload.

Step three – Configure and go live

Once your file has been processed, the Configure & go live step will become available.

Turn on for employees – switches the Total Reward Statement on for your whole organisation. Employees whose salary has been uploaded will see their full statement. Employees whose salary hasn't been uploaded yet will see a placeholder screen until their data is added.

Show to employees on probation – this is off by default. When off, employees in their probation period won't see their statement even if their salary has been uploaded. Switch it on if you'd like probationary employees to have access.

Updating salary data after going live

You can re-upload updated salary data at any time using the Re-upload link on the upload step. Processing works the same way – you'll receive an email when it's complete.

What employees see

Once turned on, employees can access their Total Reward Statement from their account menu. They'll receive a notification the first time their statement becomes available.
